Lists are fixed groups — contacts subscribe to a list via a signup form and stay until they unsubscribe or are removed. Tags are flexible labels applied manually or by automation rules, capturing what a contact has done (clicked a link, purchased, attended a webinar). Segments are dynamic queries that pull together any contacts who currently match a set of conditions across lists, tags, custom fields, and engagement history.

A contact can be on one list, have dozens of tags, and qualify for many different segments at the same time. In SendX, all three work together: lists handle subscription and double opt-in compliance, tags track behavior over time, and smart segments combine both for precise campaign targeting.

You can combine any number of conditions using AND/OR logic — for example, "tagged as interested-in-automation AND opened any email in the last 30 days AND has not started a trial."

Segments update in real-time as contact behavior changes, so you are always working with current data. There is no scheduled sync or manual refresh required.

Does SendX limit the number of tags or custom fields per contact?

No. SendX does not restrict the number of tags or custom fields. You can create as many tags as your business needs, apply them via automation rules or bulk actions, and store as many custom fields per contact as your data requires. Tags, custom fields, and unlimited list creation are available on all SendX plans — there are no feature-gate restrictions based on pricing tier.

How do smart segments update when a contact changes?

Smart segments in SendX are dynamic queries that run against your live contact database. When a contact's data changes — they click a link, receive a tag, update a custom field, or become inactive after a period of no engagement — segments recalculate automatically. There is no scheduled sync.

When you send a campaign to a segment, SendX uses segment membership at the time the campaign is launched. Contacts who qualify after the send has started are not included in that send — but they will be included the next time you send to that segment.
